Editing Invoices

Use the Edit Invoice window to change existing invoices. You can edit invoices that have had payments or credits applied to them by immediately unapplying the credits first.

Limits to editing Invoices are as follows:

The invoice cannot be edited if any credits generated by the invoice have been applied elsewhere.
(unapply the credits when prompted to edit the invoice)

The invoice cannot be deleted while editing if credits from a payment were just unapplied.
Delete the invoice from the Invoice home form/grid instead.

The Customer cannot be changed if there is an immediate payment already associated with the invoice in the original member's name.
Delete the invoice and the associated payment.

A product row on the invoice cannot be changed if:

the row references a loadout ticket
(edit the loadout ticket to change location, product, quantity, etc.)

the Bill & Hold checkbox cannot be edited if the invoice has been saved (even once)

If you added an inventory item to the invoice and saved, you cannot change it to a non-inventory item.
Conversely, if you added a non-inventory item to the invoice and saved, you cannot change it to an inventory item. You must remove the row and add a new row.

If a product row is edited the Manufacturer of Sale is updated automatically to the current manufacturer.

Tips

To view the audit trail of changes to an invoice, click History. The Invoice History window appears.

The Created By box displays when and who added the invoice to the database.

The Updated By box displays when and who updated the invoice last.

To view the detailed Audit report for the invoice, click Show Audit Trail.

To edit an invoice

Navigate to Accounts Receivable > Invoices. Or click the Invoices toolbar button.
The Invoices window opens and all invoices created today are listed.

From the Invoice home form list, select the invoice to edit and then click Edit.
If the invoice has payments or credits applied to it, a message appears asking if you want to unapply the credits. Click Yes to have agrē unapply the credits automatically and proceed to editing the invoice, or click No to return to the Invoices window.
The Edit Invoice window opens.

Tip

If the invoice you want to edit does not appear in the list, click New Search and change the criteria.

Note

While editing, you can also add new products to the invoice.

Edit the data, and add, import, or link to products, services, or blends as needed.

To edit items in the Product list, select the product, service, and/or blend to edit and then click Edit Row. When you are finished making changes, click Update.
The product or blend window closes and the updated item appears in the list on the Edit Invoice window.

Note

Editing a product row will update the Manufacturer of Sale to the current manufacturer of the product.

Tip

To remove an item from the grid, select the item and click Remove Row.

To change the order of items listed in the grid, select the item and press Control+Up Arrow or Control+Down Arrow, or right-click and select Move Row Up or Move Row Down.

If the original invoice value is less than the edited invoice value (Original $ < Edited $):

Leave the Apply Previous Credits box checked so that the credits from the original immediate payment will be reapplied to the invoice.

Accept an Immediate Payment for the difference which will be a positive amount
You will be reminded on Save if you haven't done so.

If the original invoice value is more than the edited invoice value (Original $ > Edited $):

Leave the Apply Previous Credits box checked so that the credits from the original immediate payment will be reapplied to the invoice.

Add an Immediate Payment row for the refund difference which will be a negative amount.
There is no reminder on Save for refunds.

Click Save.
