Use the Transfer Prepayment Funds window to transfer customers’ funds from their prepayment accounts to their regular accounts, or from regular credits to prepayment funds. When you make a transfer, the GL is not affected but you will see the transfer on the customer statement.
What you'll find:
To

Click
the Customer Account toolbar button.
The Find Customer window opens.
Find the customer using the various search criteria.
From
the Customer List, select the customer
who wants to transfer funds and then click Use
Selection.
The Customer Account Information window
opens.
Open the Advanced task group by clicking on the down arrow in the title bar.
Click
Transfer Prepayment Funds.
The Transfer Prepayment Funds window
opens.
Note
Prepayment Balance
displays the total amount of prepayment funds currently in the
customer’s account.
Account Balance displays the customer's
Net Balance.
Unapplied Credits displays the total
amount of unapplied credits on the customer's account.
In
the Date box, optionally change the
date that the prepayment funds are being transferred.
Today’s date is selected by default. You can change this date to a
past date, but future dates are not permitted.
(Config U) In the Location* box, enter the location that owns the transfer.

In
the Transfer box, enter the amount of
funds from the customer’s prepayment account that you want to transfer
to the customer’s regular account.
The amount of prepayment funds that you transfer must be less than
or equal to the amount of prepayment funds available.
The transfer amount must be greater than 0.
Leave
selected the radio button labelled: from Prepayments
to Regular Account.

to transfer regular credits on account to prepayment funds
Select the radio button labelled: from Regular Account to Prepayments.
In
the Unapplied Credits section, check
the Transfer in Full box to transfer
the entire credit or enter an Amount
to transfer.
The amount of credits that you transfer must be less than or equal
to the amount of unapplied credits available, and greater than 0.
In the Comment* box, optionally change the default comment that appears on Customer Statement reports.
Click Save.
(Config C) You may be asked if you'd like to view the AR Adjustment report.
If prepayment funds were transferred in error, as long as the credits have not been applied the transfer can be deleted. If any of the credits have been applied, unapply them first, then delete the transfer.
To delete a transfer of prepayment funds
On the customer's Account History tab, select either one of the prepayment transfer transactions from the grid (there will be two for each prepayment transfer, a debit and a credit).
Click
Delete Item.
Both transactions will be deleted.
In
the Transfer box, enter the amount of
funds from the customer’s prepayment account that you want to transfer
to the customer’s regular account.
The amount of funds that you transfer must be less than or equal to
the amount of prepayment funds available.
