Closing and Reopening Work Orders

If all rows on a work order are completed or closed, the work order closes automatically.

(Config C) When a work order expires, you can close it manually or specify that agrē close all expired work orders automatically.

You can also close and reopen work orders and work order product rows manually at any time.

Closing Expired Work Orders

An expired work order is unavailable to use for linking. Products, services, or blends on the work order appear committed on reports until the work order is closed. When an expired work order is closed, it still exists in the database but it is unavailable to use and cannot be referenced on reports.

(Config C) Use the Close Expired Work Orders window (secured separately from work orders) to search for all expired quotes and orders, and change their status to closed. You can also specify that agrē close all expired quotes or orders automatically instead (set up in your configuration settings).

To close an expired work order

On the Accounts Receivable menu, click Close Expired Work Orders.
The Close Expired Work Orders window opens.

In the Location box, enter the location that owns the expired work order.
You can search all locations by selecting <All Locations>.

Click Refresh List.
An Expired work order list appears. If no results are found, the list is blank.

Check the Close? box next to the orders and quotes you want to close.
No items are selected by default to prevent accidental closure.

Tip

To select multiple items quickly, click Select All Orders or Select All Quotes.

Click Save.
A message appears indicating that the work orders are closed.

Click OK.

Closing any Work Order (quotes & orders)

Use the Edit Work Order window to close work orders (closing is secured separately from editing). When you set the status of a work order to closed, all active rows are also automatically closed. When you set the status of all rows on a work order to closed, the entire work order automatically closes. The status of completed rows remains as completed.

Once you close a work order, the items on the work order can no longer be imported into loadout tickets or invoices.

To close a work order

On the Accounts Receivable menu, click Work Orders. Or click the Work Order toolbar button.
The Work Orders window opens and all work orders created today are listed.

In the Work Order list, select the work order to close and then click Edit.
The Edit Work Order window opens.

In the Status box, change the status to Closed.
A message appears indicating that all active work order rows will automatically close as well.

Click Yes.
The status of the work order and all active rows of the work order is closed.

Click Save.

To close a work order row

On the Accounts Receivable menu, click Work Orders. Or click the Work Order toolbar button.
The Work Orders window opens and all work orders created today are listed.

In the Work Order list, select the work order with rows to close and then click Edit.
The Edit Work Order window opens.

Select the product, service, or blend row to close and then click Edit Row.
The Edit Work Order Product window opens.

In the Status box, change the status to Closed.

Click Update.
If all rows on the work order are closed, a message appears indicating that the work order is closed as well. Click OK.

Click Save.

Reopening Work Orders and Rows (quotes & orders)

Work Orders can be reopened from the Work Order home form, or from the customer account.

Use the Edit Work Order window to reopen closed work orders and rows of work orders. After you change a closed work order back to active, you can then change the rows on the work order that you want to use to active (the rows can be automatically changed to active when the work order is reopened from the work order home form/window only). At least one row must be active in order for the work order to remain active.

Note

You can reopen as many products, services, or blend rows as needed; however the status of Completed rows must remain as completed.

To reopen a work order and row(s)

On the Accounts Receivable menu, click Work Orders. Or click the Work Order toolbar button.
The Work Orders window opens and all work orders created today are listed.
Search for the work order if it's not displayed.

In the Work Order list, select the closed work order to reopen, then click Reopen.
The Reopen Work Order window opens.

Select Activate All Lines to activate all Closed lines (Completed lines are not affected).
Select Leave Lines Closed to leave all closed lines Closed (the work order cannot be saved if all rows are closed or completed).
(select Cancel to leave the work order closed)
The Reopen Work Order window closes.

The Edit Work Order window opens. In the Status box, active is automatically selected.

Select the product, service, or blend row to reopen and then click Edit Row.
The Edit Work Order Product window opens.

In the Status box, change the status to Active/Inactive as needed, then click Update.

Tip

To activate/close a blend row: edit the blend, navigate to the Blend Setup tab, change the Line Status and Save.

Click Save.
