Managing Grading Factors

Discounts specifically related to grades are called Grading Factors and are used to apply reductions to the targeted commodity price. A single Grading Factor can be associated to multiple commodities.

Grading Factor discounts are separate from Adjustments (or handling codes). Adjustments are discounts that are NOT related to grade.

Several predefined Grading Factors (that allow limited editing but cannot be deleted) have already been added to your database. You can add as many more as you require.

Adding Grading Factors

To add new grading factors:

Navigate to Grain > Manage > Grading Factors.
The Manage Grading Factors window opens.

Click Add.
The Add Grading Factor window opens.

Type a Code*.
The Code must be unique.

Press TAB (or click Active) to activate the new grading factor.

Type a Description* (e.g. canola, corn, barley).
The Description must be unique.

Select the Units* from the dropdown list.

For Applies to* select Net Quantity or Accountable Gross Quantity.

Set the Minimum and Maximum percentage values.
(not applicable if Units = Grade)

Check each Commodity that uses this grading factor.

Click Save to save the grading factor.
The Add Grading Factor window closes

Managing Grading Factor Discounts

Now that Grading Factors have been added, you can setup any Grading Factor Discounts.

Editing Grading Factors

You can edit most of your existing grading factors at any time. The exception is Unit type, which cannot be changed once it has been saved (but those types can be deactivated and replaced with a new one).

To edit a grading factor

Navigate to Grain > Manage > Grading Factors.
The Manage Grading Factors window opens.

Select a grading factor and click Edit.
The Edit Grading Factor window opens.

Make your changes as needed.

(optional) For Moisture agre can calculate the Shrink % based on grading factor value.

Check Calculate Shrink % to automatically calculate Shrink % on receipts.

Select Rates, choose the Commodity, click Retrieve, then fill in the rate table (Shrink % is limited to 2 decimals).

Click Save.
The Edit Grading Factor window closes.

Deactivating Grading Factors

If there's a grading factor you no longer need but has been used so it can't be deleted, you can deactivate it. After a grading factor has been deactivated it can still be used with transactions that already have that grading factor but you would not be able to add it as a new grading factor to any other transactions.

To deactivate a grading factor

Navigate to Grain > Manage > Grading Factors.
The Manage Grading Factors window opens.

Select a grading factor and click Edit.
The Edit Grading Factor window opens.

Uncheck the Active checkbox.

Click Save.
The Edit Grading Factor window closes.

Deleting Grading Factors

Deleting a grading factor deletes it from the database. A grading factor can be deleted only if it has not been associated with any grain activity - but you can deactivate it if you no longer want to use it.

A grading factor also cannot be deleted if a term has been added to the grading factor. In that case, the term has to be removed first and then the grading factor can be deleted.

To delete a grading factor

Navigate to Grain > Manage > Grading Factors.
The Manage Grading Factors window opens.

Select a grading factor and click Delete.
The Delete Grading Factor window opens.

Select Yes to delete the grading factor.
Select No to cancel the deletion.
